How Conclave handles your conversations, account and minutes.

Conclave is an app for Apple Vision Pro in which you explore virtual chambers and speak with AI characters. This policy explains what information the app and our service handle, who processes it, how long we keep it, and the choices you have. We wrote it to match what the software actually does.

Conversations

Voice conversations use OpenAI. When you speak with a character, your microphone audio goes directly from your device to OpenAI to understand what you say and to generate the spoken reply. The text of the conversation and the shared context also pass through our backend so that the next character you choose can follow the discussion.

The characters in a chamber share context from your visit. For longer discussions we generate a compact summary and save it on our servers so that a connection retry can continue where you left off. We do not keep an audio archive, and we do not save full transcripts in your account. Your current transcript lives in the app's memory and is cleared when you enter another chamber, sign out, or delete your account.

OpenAI states that content sent through its API is not used to train its models unless the customer opts in, which we have not. OpenAI keeps its own abuse-monitoring and caching retention, which is separate from ours and described in OpenAI's data controls. We ask OpenAI not to store summary requests, but we cannot promise zero retention on OpenAI's side.

Your account

You sign in with Apple. We receive an Apple account identifier and the profile details Apple supplies, which can include your name and either your email address or an Apple private relay address. We store an internal account ID, your session credentials, and the IP address and device description of each session to provide and secure your account. Sessions expire after thirty days of inactivity and expired session records are removed automatically.

We send your internal account ID to OpenAI as a safety identifier with each conversation. It is not your Apple email, but it is linked to your account, so it is pseudonymous rather than anonymous. Anything you say aloud is, of course, heard by the character.

Minutes and purchases

Conversation is measured in minutes. Every new account receives ten free minutes, and you can add more with a monthly membership or a pack of minutes. To charge conversation fairly we keep your balance, temporary holds during a conversation, usage receipts from OpenAI (token counts and costs, never content), and the records needed to recover an interrupted conversation.

Apple processes every payment. We receive and verify Apple's transaction record, which includes the product, transaction identifiers, your account ID, quantity, dates and any refund. We never receive your payment card details. Memberships renew through your Apple account and can be managed or cancelled in your App Store settings.

Who processes information for us

AppleSign in with Apple, App Store purchases and refunds.
OpenAISpeech understanding, spoken replies, and conversation summaries.
CloudflareRuns our backend and coordinates each voice call.
PlanetScaleStores account, summary and accounting records.

Each provider processes only what its role requires. Limited network and diagnostic information, such as connection phases and error codes, helps us secure access, investigate failures and recover interrupted operations.

On your device

The app stores your preferences locally and keeps your account credential in the device Keychain. Your head position is used on the device to place the chamber and to let a character look at you; it is not uploaded. Conclave does not upload hand tracking, camera images or a scan of your physical room.

Conclave shows no advertising, contains no advertising or analytics trackers, and does not sell your conversations or any other information about you.

How long we keep things

Your voiceNot stored by us. It streams to OpenAI for the reply.
Current transcriptIn the app's memory only, until you enter another chamber, sign out or delete your account.
Conversation summariesDeleted ninety days after they are created, or immediately when you delete your account.
Account profile and sessionsProfile until you delete your account. Sessions expire after thirty days and expired records are removed automatically.
Minutes, holds, usage receipts and purchase recordsKept, linked to your internal account ID, for as long as reconciliation, refunds and our tax and accounting obligations require, including after account deletion. They contain no conversation content.
Voice call recordsIdentifiers, timestamps and status for each call, without content, kept for operations and dispute review.
Support emailKept for up to two years after your request is resolved.
Infrastructure logsOur providers keep request metadata for a few days. We do not log conversation content.
BackupsDatabase backups expire within days. If we ever restore from a backup, we reapply every deletion requested after the backup was taken before the service accepts traffic again.

Deleting your account

Open Account & voice, choose Delete account…, and confirm with Apple. Once accepted, we block new activity on the account, revoke its sessions, erase your saved summaries, confirm with Apple that the app's access is revoked, and end any active voice connection before removing your profile. If a step cannot finish, deletion stays pending and you can check its progress in the app.

Unused minutes are forfeited when an account is deleted and do not transfer to a new account. Deletion does not request a refund; Apple handles refunds under its own terms. Removing the app from your device does not delete your account. A small completion receipt, containing only a random code and a timestamp, remains on our servers until the app acknowledges it.

Your choices

You can explore every chamber without speaking, mute your microphone during a conversation, and leave the chamber to end its voice connection. Before your first conversation, the app asks whether you allow sharing your voice and context with OpenAI. To withdraw, open Account & voice and choose Turn off voice sharing; that ends the current call and blocks new voice and summary requests, though it does not recall information already processed. Signing out also clears that permission and the current conversation.

If you live in a region that grants statutory privacy rights, such as the European Union, the United Kingdom or California, you can exercise your rights of access, correction and deletion by contacting us at the address below. We do not sell or share personal information for advertising.

Changes to this policy

When we change this policy we update the effective date at the top of this page. If a change affects how your voice or conversations are shared, the app asks you to review and accept the new terms before they apply to you.
